Changes to Group Finder

When we launched our beta website in May, our aim was to make it easier for visitors to access the information they needed, when they needed it.

Since that time, with feedback from volunteers, we have updated and improved our programme planning feature, access to POR and Group Finder.

We are making further changes to the latter to improve its usefulness and to make it easier to keep up-to-date and wanted to make sure you were prepared.

Changes to enquiries

We have connected the beta Group Finder to Compass, so the email addresses used for volunteering and scouting enquiries will be pulled from there.

These can either set these once at County level, or individually down through Districts and Groups/Explorer Scouts sections, depending on how centralised your area is. Group Finder will search for contact details, escalating through the hierarchy until it finds them.

We will be updating Compass in the next week with the details we have in the current, live Group Finder, looking for the the highest part of the hierarchy we can set them at in each case.

For now, you will still need to use the Info Centre to update these, but we are working on implementing a self-service approach to ensure the process is as easy for volunteers as possible.

Changing email format

The format of the emails notifying you of volunteering and scouting enquiries will also be changing. We will now collect the following information:

Name of adult*:

Email*:

Mobile:

Postcode*:

Message:

For joining enquiries only, we will also collect the following information:

Name of child*:

Age of child*:

Please note * indicates a required field.

Meeting schedule and times

We will now display section meeting schedules and times in text boxes on Group Finder, giving you the flexibility to explain your calendar to parents and prospective volunteers. The tool will look for a day of the week in these texts to enable filtering; instructions will soon be added to Compass next to the “meeting schedule” and “meeting times” fields.

Although we will update Compass with information from Census, you will need to ensure these fields are up-to-date for all of your sections. This will mean parents and prospective volunteers can find opportunities for the days that work for them.

What does this mean now?

These changes aren’t going to go live immediately, but we are looking to update Compass with information from the current Group Finder and Census at the beginning of next week. We will be releasing the new Group Finder shortly after that.
